• Administrative & Communications Coordinator

The Phoenix School is seeking an Administrative & Communications Coordinator who will serve as an essential team member in both the day-to-day flow and long-term success of our school. Key Responsibilities Communications & Marketing Support Execute social media content, email communications, content organization (training and support provided) and storytelling efforts that reflect the heart of Phoenix Design, manage, and analyze email campaigns across admissions, vacation programs, community events, and fundraising Create engaging content for our WordPress website, including blog posts, updated language, photos, and multimedia Produce and edit videos and reels that bring our community and student experiences to life Administrative Coordination Manage and maintain school-wide external and internal calendars and scheduling Support internal and external communications (email, phone, and digital correspondence) Take initiative on various operational and office tasks that keep the school running smoothly Classroom Support Support the teachers by preparing classroom materials and photocopying booklets, journals and other resources. Assist in gathering and maintaining resources for hands-on, project-based learning Provide day-to-day admin support to the teaching team to allow them to focus on what they do best—teaching and inspiring students Community Engagement & Visibility Support Phoenix’s presence in the community by helping organize participation in local events, such as farmers markets, fairs, or service projects Seek opportunities to elevate Phoenix’s visibility through partnerships and creative outreach ideas Share and celebrate the stories and work of our students with the broader Salem community Additional Responsibilities May Include: Admissions & Family Engagement Serve as the first, warm welcome for prospective families—responding to inquiries, hosting tours and meetings, and guiding parents with empathy and clarity from first contact through enrollment Clearly communicate our progressive educational philosophy, help families envision their child thriving in our unique school environment, manage admissions funnels and communication strategies to ensure a responsive and personal admissions experience Approach growth with curiosity, creativity, and a desire to move our school to its next level of impact Host Open Houses and represent the school at community events, such as local fairs and farmers markets Support all fundraising campaigns and events through strategic marketing and outreach Understand and implement marketing and admissions budgets You Are: Highly organized and detail-oriented, but also flexible and able to pivot when needed A proactive problem-solver who takes initiative and follows through A warm communicator with strong interpersonal skills and a collaborative mindset Excited to learn and grow with the opportunity for a long-term role at a mission-driven school Committed to equity, inclusivity, and supporting a diverse community of learners Required Qualifications / Skills High school diploma or equivalent (Associate’s or Bachelor’s degree preferred) Strong organizational and time management skills Excellent written and verbal communication skills Familiarity with WordPress, Canva, Mailchimp, and social media tools Proficiency with Google Workspace (Docs, Sheets, Calendar, Gmail, Photo) Ability to multitask and prioritize in a fast-paced, collaborative environment Detail-oriented with follow-through and reliability Warm, welcoming interpersonal skills—able to interact professionally with children, parents, staff, and the community Comfort using phone, email, and scheduling systems Discretion and professionalism with sensitive or confidential information Commitment to equity, inclusion, and respectful communication with diverse communities Preferred / Suggested Experience Experience in a school, nonprofit, or education setting Previous administrative or office support role (1–2 years) Experience supporting events or coordinating logistics Experience working with children or families Interest in progressive education, project-based learning, or community outreach Ability to speak multiple languages (especially Spanish) is a plus About The Phoenix School Located in the heart of Salem, MA, The Phoenix School is a progressive, intentionally small K–8 learning community where students are seen, known, and inspired to think deeply and act with compassion.
